Managing Catalog and Items in Billing As A Service

Before creating quotations, it’s important to organize the products or services you sell. In Billing As A Service, this is done through Catalog.


What Is Catalog?

The Catalog acts as your master list — the central place where you define every product, service, or subscription your organization offers. Each entry in the Catalog becomes an Item that you can add directly to quotations, invoices, or other billing documents. You can also create custom one-time items when needed. Creating New Item in Catalog

When adding a new product or service to your Catalog, you can define key details to ensure accuracy and consistency in all your documents.

Here’s what you’ll need to fill in:

  • Name: The product or service name (e.g., “Website Design Package”).

  • Code: An internal identifier for quick search and tracking (e.g., WD-001).

  • Detail: A short description that appears on quotations or invoices.

  • Type: Choose from Product, Service, Subscription, or other categories based on your offering.

  • Unit of Measurement: Select how the item is sold — Each, Unit, Pcs, Kg, etc.

  • Unit Price: The base price per unit, with your preferred currency.

  • Tax Inclusion: Decide whether the price is Tax Exclusive (tax added later) or Tax Inclusive (tax already included).

  • Sales Tax: Apply a tax rate — either the system’s default tax or a custom one you’ve created.


Once saved, your item automatically appears in the Catalog list and can be reused across future quotations.


Adding a One-Time Item for a Quotation

Not every quote requires a pre-defined item. Sometimes, you need to include a unique product or service that doesn’t exist in your Catalog — for example, a custom consultation fee or one-off project. In cases where the product or service isn’t listed in your Catalog, open the quotation form, select +Item, and choose Use as 1-Time Item. Then, enter the required details such as the item name, unit price, and tax.
