In this article, we’ll guide you on how to create and manage opportunities using CRM As A Service to help you optimize your sales process and maximize every lead.
In CRM terms, an "opportunity" represents a potential deal or sale that has advanced beyond the initial contact phase. It’s a lead that has shown sufficient interest and engagement to be considered a viable prospect. By managing opportunities effectively, you can track the progress of potential sales, optimize your approach, and increase your chances of closing deals.
Let's see how simple it is to create and manage opportunity using this powerful tool, watch this video or read the rest of this blog post.
Convert a Lead Into an Opportunity
Once a lead has shown enough interest or engagement, it's time to qualify it as a potential business opportunity.
Convert from the List of Leads
Go to your List of Leads in the CRM As A Service app.
Locate the lead you wish to convert.
Click on the ellipsis (three dots) on the right-hand side of the lead entry.
Select the 'Convert' option from the dropdown menu.
All the details you’ve entered—such as lead title and company—automatically carry over into the opportunity. No need to re-enter any information.
Convert from the Lead Form
Alternatively, you can convert a lead directly from the Lead Form:
Open the Lead Form for the lead you want to convert.
Look for the 'Convert to Opportunity' button or option within the form.
Click 'Convert to Opportunity' to transition the lead into an opportunity.
Create an Opportunity from Scratch
In some cases, you might need to create an opportunity directly without a prior lead. To do this:
Navigate to the Opportunities section of CRM As A Service.
Click on the '+ Opportunity' button.
Enter all relevant details for the opportunity, such as title, company, and potential value.
Save the new opportunity to begin tracking and managing it.
Track the Opportunity Stages
The next step is to track your Opportunity progress through the Sales Pipeline.
Update Opportunity from the Kanban View
In the Kanban view, you can easily manage and update opportunities as they progress through different stages of your sales pipeline. Here’s how:
Navigate to the Kanban View: Access the Kanban view in your CRM As A Service app, where you’ll see your opportunities organized into columns representing different stages of the sales process.
Drag and Drop: To update an opportunity, simply click and hold the opportunity card you want to move. Drag it to the appropriate column that reflects its new stage (e.g., from “1st Meeting Scheduled” to “Negotation”).
Automatic Update: As you drop the card into its new stage, the opportunity’s status is automatically updated.
This visual method lets you quickly see and update your Opportunities without having to open each individual one.
Update Stage from the Opportunity Form
For more detailed updates, you can change the stage of an opportunity directly from the Opportunity Form:
Open the Opportunity Form: Navigate to the specific opportunity you want to update and open its detailed form view.
Choose the Updated Stage: Select the new stage from the sales process on top.
Automatic Update: As you select a new stage, the opportunity’s status is automatically updated.
Both methods—using the Kanban view for quick, visual updates and the Opportunity Form for detailed changes—ensure you can efficiently track and manage your opportunities throughout the sales process.
Close the Deal
When all negotiations are complete, and you're ready to seal the deal, simply click the 'Won' button.
However, not every lead progresses to a deal. If a lead decides to step back, you can set the opportunity to 'Lost' and specify the reason for why they didn’t move forward. This helps you track the outcome more accurately and provides insights for future opportunities
