Configuring Quotation Reference in Billing As Service

Managing quotations efficiently starts with having a clear and consistent reference system. In Billing As A Service, the Quotation Reference settings ensure each quotation uses a consistent numbering format based on the pattern you define, making them easier to manage. Whether you use automatic numbering or prefer manual control, these settings give you full flexibility over how your quotation references are generated.

  • Enable Automatic Reference Generation: You can enable or disable system-generated quotation references. When disabled, reference numbers must be entered manually.

  • Quotation Reference Pattern: Define your preferred reference format using dynamic placeholders:{YYYY}, {YY}, {MM}, {MMM}, {DD}, {COUNTER}. Example: Q-{YYYY}-{MM}-{COUNTER} → generates Q-2025-10-001

  • Counter Length: Specify how many digits the counter can generate (e.g., 3 = up to 999). When the counter reaches its limit, you’ll need to assign a new reference manually.

  • Next Counter Number: Set the next counter value manually if needed. Duplicate counter numbers are blocked to prevent conflicts.

  • Reset Counter: Choose when the counter should reset automatically (daily, monthly, yearly).
