Interactive Chatbot Notifications in Checklist as a Service for Microsoft Teams

Checklist chatbot notifications now carry action buttons, so you can move a task forward straight from the Teams chat. When the Checklist bot sends you a notification card, you can resolve, close, or reopen the task right there, without opening the app.


This turns each notification into a place where work actually happens. The card knows who you are and what state the task is in, so it only shows the actions you are allowed to take. The result is fewer clicks between seeing a task and dealing with it.


What you can do from a notification card

You can complete a task action directly on the card the bot sends you. Each notification lists your assigned tasks, and each one offers the actions your role permits for that task's current status.

The card shows one primary button per task. Any other actions you are allowed to take sit in the overflow menu next to it, so the card stays readable even when you have several options.


When these notifications appear

The action buttons show up on two Checklist notifications, both sent to your 1:1 chat with the Checklist bot.


New task assignments. When a checklist is submitted, generated on a schedule, or has a new task added, the bot sends you a card listing the tasks assigned to you. You can act on them the moment they arrive.


The action you see on a task depends on your role and whether the task has a reviewer:


  • Assignee on a task that has a reviewer: you see Resolve, so you can mark your work done for the reviewer to check.


  • Reviewer: you see Close or Reopen, so you can approve the task or send it back for more work.


  • Assignee on a task with no reviewer: you see Close, so you can finish and close the task yourself.


Due date reminders. The bot also sends a scheduled reminder that groups your tasks by how soon they are due:

Only the groups that apply to you appear, so the card stays short.


How to act on a task from a notification

Acting on a task takes one tap for a direct action and a short dialog when you reopen. Follow the path that matches the action you want.


For a direct action, such as Resolve or Close:

  1. Open the notification card in your Checklist bot chat.

  2. Find the task you want to update.

  3. Tap the action button on that task.



To reopen a task:

  1. Tap Reopen on the task, or select it from the overflow menu.

  2. Enter a reason in the dialog that opens. The comment is required, and it is added to the task activity thread and sent to the assignee.

  3. Tap Reopen task to confirm, or Cancel to close the dialog without reopening.



What happens after you act

Once you act on a task, the button becomes a label that records the outcome. A resolved task, for example, shows a label such as “Resolved (updated).”


Update Failed and Show Checklist

Sometimes the label reads “Update failed” instead. This usually means the task has already changed since the notification was sent, for example someone else resolved or closed it, so the status the card was showing no longer matches.


When that happens, open Show Checklist to see the current version and act from there. Show Checklist opens the full checklist, so you can review every task and its live status without leaving the chat.


This keeps every card accurate and prevents double actions:

  • You can act once per task from a given card. After that, the task shows its outcome instead of a button.

  • Other tasks on the same card keep their buttons and stay actionable.

  • The status line under a task title stays as it was when the card was sent. A notification is a record of that moment, so open the checklist to track visibility and progress.


Language support

Every button and outcome label appears in your own language. Checklist localizes the interactive cards to each recipient's language setting, so a team spread across regions each reads the notification in their preferred language.
