From Won Deal to Invoice: Closing the Sales-to-Finance Handoff in Microsoft Teams

The sales-to-finance handoff is the step where a won deal passes its customer, product, and price details to finance so a quote and invoice can be created. You can complete it without retyping anything when your CRM and billing app share the same platform. With CRM as a Service and Billing as a Service those details carry over from the opportunity to the quotation, sales order, and invoice inside Microsoft Teams.

This article follows one deal through each step. You will see which details carry over automatically, where manual work disappears, and how to confirm that every record stays connected.

Where the sales-to-finance handoff slows down

After a deal is won in the CRM, someone usually has to re-enter the customer, product, and price details in another tool to create the quote and invoice. This takes time, and it adds chances for mistakes: a misspelled company name, an outdated price, or a missing line item. A mistake like this can lead to a corrected invoice or a delay before the customer pays.

Sales ops teams feel this most because they sit between sales and finance and fix the gaps. For SMB owners who handle both sides, it is time taken from selling.

How CRM and Billing share data in Microsoft Teams

CRM as a Service and Billing as a Service run on the same platform, and both work inside Microsoft Teams. Because they share one platform, the data on a CRM opportunity is already available when you create the quote and invoice. There is no export, import, or copy and paste between two separate systems.

What you need before you start

Set up these items once, and every later deal can follow the same path:

  • The apps: CRM as a Service and Billing as a Service added to Microsoft Teams.

  • A customer and an opportunity: the deal you want to invoice, saved in CRM.

  • A catalog item: the products or services you sell, saved with their prices, so you can add them to quotations.

How to turn a won deal into an invoice in six steps

The steps below follow one deal from the moment it is won to the final invoice. Each step explains how to do it and which details you do not need to enter again.

Step 1: Start with the won opportunity in CRM

Open the opportunity in CRM and mark it as won. Check that the customer and deal details are correct, because this record is the source for every record that follows. Fix any mistake here once, and it carries into the quotation, sales order, and invoice.

Step 2: Create quotation from an opportunity

When creating a new quotation in Billing as a Service, create it from an opportunity by searching for the opportunity title. Selecting the opportunity automatically fills in the customer and deal information from CRM, keeping the records linked from the start.

Step 3: Review the pre-filled quotation

The quotation opens with the customer details already filled in. Add the items from your catalog, and the product and price details carry into the quotation. Review the lines and quantities, then save the quotation. Your work here is to check the content, not to type it.

Step 4: Convert the quotation to a sales order

When the customer accepts the quotation, select the convert action to turn it into a sales order. This takes one step, and the customer, item, and price details move with it.

Step 5: Get the final invoice and PDF

Create the invoice from the sales order. It uses the same customer, product, and price details, so there is nothing to retype. Billing as a Service also gives you a PDF version of the invoice, ready to share with the customer.

Step 6: Check everything in the Associated view

Go back to the opportunity in CRM and open the Associated view. It lists the linked quotation, sales order, and invoice in one place. Sales and finance can both see the full chain for the deal without searching through separate tools.

What this changes for your team

  • Less retyping: you enter customer, product, and price details once, and each later record reuses them.

  • Fewer errors: fewer manual entries means fewer chances for typos and outdated prices.

  • One place to work: sales and finance stay in Microsoft Teams from the opportunity to the invoice.

  • Clear records: the Associated view shows every document linked to a deal.
