A sales order confirms what your customer has agreed to buy. It sits between the initial quotation (the priced offer) and the sales invoice (the request for payment) in your quote-to-cash lifecycle. In Billing as a Service, you can create a sales order in two ways:

  • From an accepted quotation: Instantly convert a won proposal so the customer, item codes, quantities, and agreed prices carry over with zero retyping (learn more about creating your first quotation in Billing as a Service).

  • From scratch: Create a new order directly from the Sales Orders menu if you already have an agreed purchase order without a prior quote.

Managing both types of billing documents in Billing as a Service ensures your team maintains a single source of truth inside Microsoft Teams before moving to the next stage: how to create a sales invoice in Billing as a Service.

This tutorial guides you through creating a sales order from an accepted quotation in four straightforward steps.

How to create a sales order in four steps

Step 1: Move your quotation to Accepted

Every quotation follows the same workflow: Draft, Pending Approval, Approved by Manager, Sent to Customer, and then Accepted or Rejected. When the customer agrees to the proposal, mark the quotation as Accepted. The Accepted label gives you a clear confirmation that the deal is won. For details on each status, read Mastering the Quotation Workflow.

Step 2: Open the accepted quotation

Open the quotation from the Quotation list. You can also work directly from the list, using the actions menu on the row.

Step 3: Convert the quotation to a sales order

Select the convert action to generate the sales order. This takes one step.

Step 4: Review the sales order

The new sales order opens with the customer, items, and prices already filled in from the quotation. Check the lines and quantities, and confirm that tax and discounts are what you expect.

What you can control for each invoice

  • Lines and quantities: when you create an invoice from the sales order, you can adjust the line items and change the quantity you want to bill for that stage.

  • Remaining balance: the sales order tracks your billing progress. It shows the total order value, the amount already invoiced, and the remaining balance that is not yet invoiced.

  • Linked invoices: every invoice created from the order is linked to it automatically and is listed in the Associated / Linked Invoices tab on the sales order page. Your team can follow the payment status and history of each invoice in one view.

Starting from a CRM opportunity

If you created your quotation from a CRM opportunity, the records stay linked. Open the opportunity in CRM as a Service and use the Associated view to see the quotation, sales order, and invoice for that deal in one place. What's next?

Once the order is confirmed, you can create one or more sales invoices from it. Read the next guide: How to Create a Sales Invoice in Billing as a Service.
