How to Create a Sales Invoice in Billing as a Service
Updated: 5 days ago
The sales invoice is the final step in the quote-to-cash process: it is the official document you send to your customer to request payment. In Billing as a Service, you can create a sales invoice in two ways depending on your current workflow:
From an existing document: Convert directly from a confirmed sales order without retyping customer or item details (see how to create a sales order in Billing as a Service, or start earlier by creating your first quotation in Billing as a Service).
From scratch: Create a standalone invoice directly from the Invoices menu for one-off charges or direct billings.
Both methods allow you to manage all your customer-facing billing documents in Billing as a Service without leaving Microsoft Teams.
This tutorial walks you through how to generate a sales invoice from an existing sales order in four simple steps.
How to create a sales invoice in four steps
Step 1: Open the sales order
Open the sales order you want to invoice. Check that the customer, items, quantities, and prices are correct, because the invoice will reuse them.

Step 2: Create the invoice from the sales order
Select the action to create the invoice from the sales order. The invoice uses the same customer, product, and price details, so there is nothing to retype. You can also adjust the line items and change the quantity you want to bill at this stage, which is useful when you invoice an order in several steps.

Step 3: Review the invoice
The new sales invoice opens with all details filled in. Review the lines, quantities, tax, and discounts before you share it.

Step 4: Get the PDF and share it with your customer
Billing as a Service gives you a PDF version of the invoice, ready to share with the customer.

Advanced Invoicing: One Sales Order, Many Invoices
You do not need to bill an entire project or shipment all at once. In Billing as a Service, one Sales Order can connect to multiple Sales Invoices:
Milestone & Down Payments: Issue a 30% advance deposit invoice upon contract signing, and the remaining 70% upon final delivery.
Partial Shipments: Deliver and invoice items as stock becomes available without creating duplicate sales orders.
How to Issue Additional Invoices: Simply reopen the original Sales Order and repeat Step 2. The system tracks each invoice as an independent legal document with its own invoice number, date, and PDF.
Keep every document connected
If the deal started as a CRM opportunity, open the opportunity in CRM as a Service and select the Associated view. It lists the linked quotation, sales order, and invoice in one place, so sales and finance can both see the full chain without searching through separate tools. Tips for accurate invoices
Correct errors at the source. Fix the quotation or the sales order first, so the invoice starts with the right data.
Keep your Catalog up to date, so prices and taxes are consistent across every document.
Check the legal organization details once, and every invoice will carry them.
