Group Visibility in TeamsWork Apps
Updated: 1 day ago
Group Visibility is a shared feature across TeamsWork apps, available in CRM as a Service and Billing as a Service. It determines who can see and interact with the records your team creates, so teams collaborate effectively while sensitive data stays under control. Because the settings are shared, you configure your groups and visibility once, and they apply across both apps.
This article explains how Group Visibility works across TeamsWork apps and how groups influence access. You'll learn how to apply these rules in real scenarios so the right people have access at the right time, without unnecessary complexity. Group is one of several access levels you can set on a record. For how every level works together, see visibility rules in TeamsWork apps.

How Group Visibility Works
Group visibility shares an item with one team, defined as a group of users. A group has two roles, Group Owner and Group Member, and what each person sees depends on their role and on the group an item is shared with.
When an item is set to Group visibility, access is granted to:
The item owner
Group Owners
All group members
What a Group Owner Sees
A Group Owner has the broadest visibility within a team. Beyond the items shared with their group, a Group Owner also sees every item owned by a member of their group, whatever the visibility level, including items set to Private. This makes the role the most powerful visibility position in a team, and it lets a team lead keep full oversight of their group's work without each item being shared across the whole organization.
What a Group Member Sees
A Group Member sees items shared with a group they belong to.
Preferred Group for Users in Multiple Groups
A user who belongs to more than one group sets a preferred group on their profile. When they create an item with Group visibility, it is shared with their preferred group, and they can choose a different group at creation time. An item set to Group visibility is shared with one group only, not with every group the owner belongs to.

Example Use Case
The examples below use a sales team in CRM as a Service. The same group model applies anywhere Group Visibility is available, including Billing documents, so the setup carries over directly. To see how it works in practice, consider how Contoso Teams structures its regional sales operation around two teams, US West Sales and US East Sales, and how group setup changes who sees what.
Use Case 1: Two Sales Managers, Two Teams
Contoso runs two regional teams, each with its own manager. US West Sales reports to Diego, and US East Sales reports to Adele.
To configure this, create two groups, US West Sales and US East Sales. Set Diego as Group Owner of US West Sales and Adele as Group Owner of US East Sales, then add each rep as a member of their own team. Set the default visibility for new items to Group.

With this setup:
Diego sees every item owned by a US West Sales member, including Private ones, plus anything shared with the group
Adele sees the same for US East Sales
Neither manager sees the other team's items
Reps see their own items and the items shared with their group
Use Case 2: One Sales Manager, Two Teams
Contoso has a single manager, Megan, who oversees both regional teams.
To configure this, create both groups, then set Megan as Group Owner of US West Sales and US East Sales. Add each rep as a member of their own team and keep the default visibility set to Group.

With this setup:
Megan sees every item owned by members of both teams, including Private ones, because she is Group Owner of each group
Reps still see only their own team's items
One manager gets full oversight across both regions without the two teams seeing each other's items
Use Case 3: A Salesperson Working in Both Teams
Alex handles deals in both regions, so he belongs to both teams.
To configure this, add Alex as a member of US West Sales and US East Sales. Because he belongs to more than one group, he sets a preferred group on his profile, and he can pick a different group each time he creates an item.

With this setup:
When Alex creates an item and selects US West Sales, it is shared with US West Sales members and owner, and US East Sales cannot see it
When he selects US East Sales, it is shared with US East Sales instead
Each item is shared with one group only, the group Alex selects at creation
Conclusion
Group Visibility is a core building block of secure collaboration across TeamsWork apps. When configured correctly, it ensures that the right people have the right access at the right time without adding complexity for users.
With clear defaults and well-structured groups, teams can focus less on permissions and more on closing deals, resolving cases, and building strong customer relationships.
