Personal App and Managing Instances in Checklist as a Service

The Personal App in Checklist as a Service brings all your tasks and checklists from every instance into one place. Instead of jumping between channels and checklists, you get a single view where you can see, filter, and act on everything assigned to you.

This guide walks you through the refreshed Personal App: how to find it, how it pulls all your instances together, and how to create and track your checklists and tasks without leaving the app.

Discovering the Personal App

If you have never used the Personal App, look for Checklist as a Service in the left navigation menu in Microsoft Teams, then pin the app so it stays visible in your navigation bar.

What's New in the Personal App

We gave the Checklist as a Service Personal App a full makeover, with a fresh, modern interface and improvements that help you work faster.

• Expanded task view: The updated layout makes better use of screen space, so you see more tasks at a glance.

• More columns, more clarity: Contextual information now sits directly in your task list, including status, assignee, reviewer, due date, and custom fields.

• Smarter filtering: Filter tasks by status, assignee, reviewer, or due date instead of relying on a simple search.

Two Views: Task Progress and Checklist Management

The Personal App gives you two consolidated views across every Checklist instance you belong to, so you can look at your work by task or by checklist.

• Task Progress: see all your tasks from every instance in one list, then filter down to what needs attention.

• Checklist Management: see all your checklists from every instance in one place.

Whether you own several checklists or are a member across multiple teams, both views stay filtered to what is relevant to you.

All Instances Settings

The Personal App gives you one place to configure every Checklist instance you own. Open the All Instances tab and click the gear icon in the top-right corner to manage your instances from there.

Create a Personal Instance

You can create a personal instance directly from the Personal App settings, under the Instances tab, without going through a channel tab. Create as many instances as your team needs, for HR, Operations, Marketing, or any other function.

You can also add an instance that is already set up in a channel.

Navigate Across Instances Without Leaving the App

Each instance you belong to appears in its own tab inside the Personal App. Switch between your project lists and team boards with a single click. Every tab loads its own task list and actions independently, so switching context stays instant and clean.

Creating and Managing Checklists from the Personal App

You can create and manage checklists in any instance you are a member of, without navigating to the corresponding Checklist instance. Inside the Personal App you can perform the same actions as in the instance itself, such as adding tasks, resolving, closing, adding comments, and attaching files.

Filtering Your Tasks

In the Personal App, you can filter your tasks by the criteria you need. Focus on overdue items, tasks due today, or tasks coming up in the next few days to narrow your list and stay organized.
