Keeping CRM Documents Organized with Cloud Storage

Hey Teamswork Community! 👋

If your team stores proposals, contracts, or customer files outside the CRM, keeping everything organized and up to date becomes a real challenge. Cloud Storage in CRM as a Service connects your own SharePoint or OneDrive directly to your CRM records, so every document lands in the right place automatically.

A few things worth knowing:

  • Grant admin permissions first

Cloud storage won't work until an administrator grants the required app permissions in CRM settings. Get this done before anything else.

  • Choose the storage type that fits your team

CRM as a Service supports both TeamsWork Cloud Storage and your own Microsoft 365 tenant storage. If your team is not fully on Microsoft 365 yet, TeamsWork Cloud Storage is a ready-to-use option with no setup required.

  • Let the folder structure build itself

Every time a new record is created, a matching folder is automatically generated in your cloud storage. No manual folder creation needed.

  • Keep quotations under their related opportunity

Quotation folders are automatically placed inside the corresponding Opportunity folder, keeping all related files grouped together in one place.

  • Use subfolders to organize further

You can create subfolders directly inside CRM to match your team's workflow within any record.

  • Upload files by dragging and dropping

No need to browse for files. Just drag them into the CRM interface and they upload instantly.

  • Create and edit documents without leaving CRM

You can start a new Word, Excel, or PowerPoint file straight from any CRM record. Documents open in Microsoft 365 online, save automatically, and never need to be downloaded or re-uploaded.

  • Access files from wherever you work

Since everything lives in your Microsoft 365 tenant, you can open and manage documents from CRM, OneDrive, SharePoint, or Teams interchangeably.
